Organizational Policy Framework

1. Mission and Values Policy

Purpose: To ensure all programs, partnerships, and actions align with our mission:

“To foster a healthier mindset and well-being by integrating mental health services with a welcoming café environment, creating a supportive space for professional guidance and community connection.”
 

Policy Statements:

  • All initiatives must promote mental wellness, inclusivity, and community care.
     
  • Programming should reflect compassion, respect, and nonjudgmental support.
     
  • Decisions will be guided by Christian principles of love, integrity, and service.
     

2. Non-Discrimination and Inclusion Policy

Purpose: To maintain an environment that is equitable and welcoming.
Policy Statements:

  • Services are open to all regardless of race, ethnicity, gender identity, sexual orientation, religion, ability, or socioeconomic status.
     
  • Staff and volunteers must complete inclusion and sensitivity training annually.
     
  • Accessibility accommodations will be provided whenever possible.
     

3. Confidentiality and Privacy Policy

Purpose: To protect client, volunteer, and donor confidentiality.
Policy Statements:

  • All client information is confidential and shared only with consent or as required by law.
     
  • Staff must follow HIPAA-compliant practices for data storage and communication.
     
  • Digital records must be secured with password protection and encryption.
     

4. Code of Conduct and Ethics

Purpose: To set behavioral and professional standards.
Policy Statements:

  • Staff, volunteers, and board members must act with honesty, respect, and integrity.
     
  • Romantic or exploitative relationships with clients are strictly prohibited.
     
  • All representatives must maintain professional boundaries and confidentiality.
     

5. Social Media and Communication Policy

Purpose: To safeguard the organization’s image and protect client privacy.
Policy Statements:

  • Social media content must reflect the organization’s mission and values.
     
  • Client stories may not be shared without written consent.
     
  • Staff and volunteers must avoid posting content that conflicts with organizational values.
     

6. Partnership and Collaboration Policy

Purpose: To guide partnerships that align with our mission and Christian-based values.
Policy Statements:

  • Collaborations must promote mental wellness, community upliftment, or holistic well-being.
     
  • Potential partners will complete a Collaboration Screening Form to ensure value alignment.
     
  • Partnerships with organizations that contradict the mission or exploit vulnerable communities will not be pursued.
     

7. Volunteer and Staff Policy

Purpose: To maintain safe, effective, and compassionate operations.
Policy Statements:

  • All staff and volunteers must pass a background check.
     
  • Mental health staff must hold valid licenses and certifications.
     
  • Volunteers will receive orientation on trauma-informed care, confidentiality, and inclusion.
     

8. Financial Integrity and Donation Policy

Purpose: To promote transparency and accountability.
Policy Statements:

  • Donations will be used exclusively for approved programs, services, and operational needs.
     
  • Annual financial reports will be publicly available.
     
  • No individual may use organizational funds for personal benefit.
     

9. Crisis Response and Safety Policy

Purpose: To ensure preparedness in emergency or mental health crises.
Policy Statements:

  • All staff will be trained in basic crisis intervention and de-escalation.
     
  • Emergency contacts and local support resources must be readily available.
     
  • In cases of self-harm or danger, staff will follow mandated reporting laws.
     

10. Faith Integration Policy

Purpose: To reflect our Christian foundation in a respectful and inclusive manner.
Policy Statements:

  • Faith-based discussions or activities are voluntary and never coercive.
     
  • Spiritual care will complement, not replace, clinical mental health services.
     
  • All individuals are welcome regardless of belief system.
     

11. Data Protection and Technology Policy

Purpose: To secure digital operations and protect sensitive data.
Policy Statements:

  • Only authorized personnel may access client or financial data.
     
  • Data storage systems must be encrypted and routinely backed up.
     
  • Cybersecurity procedures will be reviewed annually.
     

12. Conflict of Interest Policy

Purpose: To ensure integrity in decision-making.
Policy Statements:

  • Board and staff must disclose any potential conflicts.
     
  • Individuals with conflicts may not vote on related matters.
     
  • Transparency and accountability are central to all governance actions.
     

13. Media and Public Relations Policy

Purpose: To ensure consistent and positive messaging.
Policy Statements:

  • Only designated representatives may speak on behalf of the organization.
     
  • All public statements must reflect organizational values and confidentiality standards.
     

14. Evaluation and Continuous Improvement Policy

Purpose: To maintain excellence and community trust.
Policy Statements:

  • Programs will be reviewed annually for impact and alignment.
     
  • Feedback from participants, partners, and staff will inform adjustments.
     
  • The organization commits to ongoing professional development and innovation.
